Pacific College is seeking a dynamic individual for the onsite, full-time (30 hours per week) position of Receptionist at our Chicago campus.
General Job Summary:
The Receptionist is the face of the Pacific College Chicago campus. This position will meet and greet incoming guests, students, staff, and faculty at our small downtown campus and direct them to team members while providing excellent customer service. This position will also assist with bookstore sales and help process tuition and other student payments. During slow times, the Receptionist also assists with administrative support for the Campus Director, Admissions team, and other staff, as necessary.
Key Responsibilities:
Reception/Administrative Assistant Support:
- Answers all incoming phone calls and directs them to the appropriate college personnel in a prompt and courteous manner.
- Assists callers on hold as quickly as possible, requesting support from other staff as needed to minimize wait times.
- Directs inquires to the appropriate department or staff member.
- Greets walk-in visitors and ensures they are directed to the appropriate department or staff member.
- Collects tuition and book sale payments.
- Assists with the distribution of student ID cards and U-Passes.
- May perform opening and/or closing duties.
- Distributes memos, mail, and other communications to faculty, staff, and students via mailboxes.
- Receives deliveries and promptly notifies the intended recipient for pickup.
- Makes copies and scans documents upon request.
- Provides administrative support and performs other duties as needed, such as filing or assisting the Campus Director or Registrar.
- Maintains a clean, organized, and welcoming work area to include the bookstore and administrative entry area.
- Updates mailbox labels and folders for faculty, staff, and students each term or as needed.
- Inventories and restock supplies in the 17th floor classrooms and faculty workroom with printing paper, dry erase markers, table paper, tissues, etc. twice per week.
- Checks and tidies up the classrooms and break areas 1-2 times per day.
- Performs other duties as assigned to meet the operational needs of the College.
Bookstore Support:
- Receives book and supply orders.
- Unpacks, stores, and maintains inventory of bookstore items.
- Monitors bookstore inventory and promptly reports discrepancies to their supervisor.
- Assists with covering the library desk as needed.
- Maintains a clean, organized work area to include shelves.
- May organize the sale of recommended and older editions books.
Qualifications and Skills:
- High school diploma or equivalent required; some college coursework preferred.
- Minimum of two years of experience in a general office or administrative setting.
- Proficient skills and experience with Microsoft Office Suite (including Word, Excel, PowerPoint, Teams, Outlook) while adaptable and eager to learn new software.
- Excellent customer service skills with a strong commitment to providing positive experience for students, staff, and visitors.
- Strong written and verbal communication skills with the ability to interact effectively with all individuals.
- Ability to manage multiple tasks accurately and meet deadlines despite interruptions.
- Effective organizational, time management, and problem-solving skills.
- Ability to work well independently as well as within a team.

Salary Expectations: $18.50 – $19.25 per hour
Work Environment: The work environment characteristics are representative of those an employee encounters while performing essential functions of the job in a typical office/workstation situation. Able to work sitting or standing at a desk and operate a computer using keyboard and reading information on a monitor.
