Pacific College Job Announcement – Financial Aid Manager – New York Campus

Pacific College is seeking a dynamic individual for the full-time position of Financial Aid Manager at our New York campus. This position is hybrid, with at least 3 days per week required at the New York campus.

General Job Summary:

The Financial Aid Manager is responsible for assisting the Assistant Director of Financial Aid with overseeing and managing all aspects of the financial aid operations, ensuring that students have access to the financial resources they need to pursue their education. This role involves coordinating the processing and awarding of financial aid, providing guidance to students and families, and ensuring compliance with federal, state, and institutional regulations. The Financial Aid Manager also supports continuous improvement in financial aid processes and services.

Essential Functions & Responsibilities:

Program Administration

  • Assist the Assistant Director of Financial Aid (ADFA) in overseeing the processing and awarding of financial aid packages for incoming and continuing students.
  • Ensure compliance with federal, state, and institutional regulations governing financial aid.
  • Review and verify financial aid applications, including FAFSA, and other required documentation.
  • Manage the disbursement of financial aid funds and ensure timely delivery of aid to students.
  • Assist The ADFA with R2T4 process.
  • Conduct file reviews, ISIR reviews, and assist in resolving disbursement and origination errors within CORE.

Leadership and Supervision

  • Supervise, train, and mentor a team of financial aid officers.
  • Provide leadership in ensuring high-quality service and effective communication with students, parents, and staff.
  • Develop and implement policies and procedures for financial aid processes.

Counseling and Support

  • Provide personalized financial counseling to students and families regarding available financial aid options, including scholarships, grants, loans, and work-study programs.
  • Assist students with financial aid appeals, special circumstances, and adjustments to aid packages.
  • Act as a point of contact for students with questions regarding financial aid status, requirements, or problems.

Compliance and Reporting

  • Ensure all financial aid practices comply with federal and state regulations, as well as institutional policies.
  • Monitor and track federal, state, and institutional aid funding to ensure proper allocation and use.
  • Prepare and submit required reports to regulatory agencies and institutional leadership.
  • Maintain accurate student financial aid records in compliance with privacy laws and institutional guidelines.

Program Development and Enhancement

  • Stay current with changes in financial aid regulations and best practices, applying them to institutional processes.
  • Collaborate with other departments to promote awareness of financial aid programs and to improve the student experience.
  • Evaluate the effectiveness of current financial aid processes and recommend improvements to enhance efficiency and accessibility.

Communication and Outreach

  • Deliver workshops, seminars, and presentations to students and parents on financial aid topics.
  • Serve as a liaison between the financial aid office and other campus departments

Qualifications and Skills:

  • Bachelor’s degree preferred, preferably in Finance, Accounting, Business Administration, or a related field.
  • Minimum of 5-7 years of experience in financial aid administration, with at least 2-3 years in a supervisory or managerial role.
  • Strong understanding of federal and state financial aid programs, including Title IV regulations, FAFSA, and the Higher Education Act.
  • Proficiency in financial aid software systems; Anthology, COD, NSLDS, Campus Ivy’s CORE (we can train in CORE).
  • Intermediate skills in Microsoft Office Suite (including Word, Excel, PowerPoint, Teams, Outlook)
  • Excellent written and oral communication skills with the ability to work effectively with diverse student populations.
  • Strong analytical and problem-solving abilities.
  • Must have attention to detail and the ability to manage multiple tasks and deadlines effectively.
  • Ability to interpret, adapt, and apply guidelines and procedures
  • Ability to maintain confidentiality of records and information
  • Must work well in a team environment
  • Experience in nursing education preferred

Work Environment: The work environment characteristics are representative of those an employee encounters while performing essential functions of the job in a typical office/workstation situation. Able to work sitting or standing at a desk and operate a computer using keyboard and reading information on a monitor. This is a hybrid position. Must be able to commute to the New York campus at least three times a week. A dedicated workstation required for remote work.

Salary Expectations: $65,0000.00 -$75,000.00 annually
