Pacific College Job Announcement – Clinic Operations Senior Manager – San Diego Campus

Pacific College of Health and Science is seeking a dynamic individual for the onsite, full-time position ofย Clinic Operations Senior Managerย at our San Diego Campus.ย 

General Job Summary:ย 

The Clinic Operations Senior Manager is responsible for the day-to-day administrative, financial, and operational management of the San Diego clinic. This role ensures efficient clinic operations, excellent patient experience, and strong administrative controls in support of the academic mission. The position also serves as the Campus Safety Manager and HIPAA Officer.

The Clinic Operations Senior Manager maintains professionalism and ensures the smooth flow of clinic and office operations. This role works closely with the Dean of Graduate Studies, the Program Director of Massage Therapy, the Clinic Faculty Mentor, and the Institutional Director of Clinical Practice to ensure that the clinic adheres to all regulatory requirements and PCHS policies and procedures.

This position requires onsite presence at the San Diego campus five days per week.

Essential Responsibilities:

Clinic Staff:

  • Manage workflow and operations of front-desk reception and clinic interns.
  • Interviews and helps hire clinic office staff and reviews staff performance annually or as needed.
  • Trains and supervises all clinic office staff.
  • Monitor staff etiquette to ensure that all interactions are handled professionally, with the highest quality customer service provided.
  • Fosters the definition of customer as โ€œanyone to whom we provide a serviceโ€ in relation to all stakeholders, including students, patients, faculty, staff, visitors, etc.
  • Models and provides training in โ€œexceeding customer expectationsโ€ via customer service skills. Collaborate with the staff in finding solutions to customer service needs and concerns.
  • Provides input on team-building strategies, training initiatives, and staff development.
  • Conduct clinic staff meetings monthly to improve communication and training.
  • Suggests needed staff development, process improvement, and facilitates communication with other departments and staff members at the College.

Clinic Operations & Business:

  • Communicates weekly with the Campus Director (CD) regarding clinic business and policy determinations and the smooth flow of activities at the clinic and off sites.
  • Updates malpractice insurance for students and faculty annually and each term.
  • Manages and oversees the appropriate utilization of NexusClinical (EHR).
  • Finalizes clinic schedule for upcoming term by middle of current term.
  • Oversee cash flow and deposit process.
  • Provides input to the annual edit of the clinic manual.
  • Ensures proper maintenance, security, and archiving, and disposal of patient records.
  • Maintains effective and efficient delivery of clinical and pharmacy goods and patient services both on campus and in the off-site clinical locations.
  • Monitors patient flow and assures clinic is adequately staffed, reporting any needs to the CD.
  • Orders and ensures organized storage and organization of clinic supplies.
  • Oversee year-end inventories and ensure they are complete as of December 31st each year.
  • Oversee timely repair and replacement of clinical equipment, reporting any needs/issues to the CD and Facilities Manager.
  • Ensures that all administrative and housekeeping responsibilities are completed during each semester break.
  • Offers strategic input on operational costs to ensure cost-effective, high-quality operations.
  • Advises CD on issues of compliance with all State and Federal regulations.
  • Ensures compliance with local regulations, including fire drills and regulations.
  • Ensures that professional and support staff properly implement clinical policies and procedures.
  • Understands all aspects of deposit procedure, billing and collection, and ensures security and accuracy in each area.
  • Prepares and distributes statistical data regarding department operations to the CD.ย 
  • Develops and ensures all procedures in the clinic are in accordance with OSHA and HIPAA guidelines.
  • Develop training as necessary and ensure all clinic employees and students are trained regarding OSHA and HIPAA as required.
  • Reports on clinical needs, problems, and concerns to the CD.
  • Audits CourseKey for student attendance on a regular basis.
  • Helps conduct or makes sure clinic orientations occur each term.
  • Attend New Student Orientation to relay the clinic experience to them and welcome them to PCHS.
  • Ensure students in the clinic have received CPR/First Aid training before beginning courses in the clinic.
  • Answers clinical policy questions from students, patients, and faculty and educates the clinical community in these matters.
  • Provides input to the Program Directors & Registrar regarding changes in Intern and Assistant schedules.
  • Monitors adherence to clinic attendance policy, including make-up of shifts.
  • Performs other duties and assigned projects.ย 

ย Miscellaneous:

  • Always represents the college positively.
  • Maintains and models awareness of โ€œTeamโ€ in working with all customers: students, faculty, patients, and staff.
  • Primary point of contact for reviewing and executing community outreach events with a goal of holding one event per semester.

Education, Experience and Job Skills:

Required:ย 

  • Bachelorโ€™s degree.
  • Excellent written and verbal communications skills.ย 
  • 3-5 years managing an office or business.
  • Qualities such as leadership, interpersonal skills, cooperation, dependability, orderliness, ability to troubleshoot and create solutions
  • Excellent customer service skills
  • Strong computer skills (MS Outlook, Word, Excel, PPT) and ability to learn new computer applications to ensure efficient operations

Preferred:

  • Masterโ€™s Degree or appropriate licensure.
  • Three to five years of experience in managing a healthcare clinic or business.
  • Ability to perform minor repairs and maintenance of clinical equipment.

Supervisory Responsibility: Clinic Office Manager, Clinic Reception Staff, and Clinical Students.

Salary Expectations:ย $70,304.00 – $72,000.00 annually
