Pacific College of Health and Science is hiring for the position of Clinic Office Manager at our Chicago Campus.
Job Summary:
The Clinic Office Manager ensures the smooth functioning of the clinic front desk and clinical plant and supplies. Orders supply, inventories and ensures all supplies are well-stocked. Ensures clinic patient charts are complete and staff HIPAA complaint in handling charts. Maintains chart archives. Performs reception duties in a high volume multitask environment as needed. Interfaces directly with patients, students and supervisors on immediate needs and concerns. Coaches and trains Federal Work Study (FWS) student employees. Oversees daily revenue. This position reports to and supports the Director of Clinical Services (DCS).
Essential Business Functions:
- Orders and stocks clinic supplies on a consistent basis, keeps inventory, and sends signed receipts to accounts payable.
- Ensures cashbox has change available daily and goes to bank to get change when needed.
- Receives payment for treatment room rentals.
- Communicates frequently with the college DCS regarding clinic business and policy determinations and the smooth flow of activities in the clinic and brings all issues to DCS attention.
FWS Coaching Duties:
- Helps the Assistant DCS hire, train, and supervise Federal Work Study (FWS) receptionists.
- Monitors FWS phone etiquette to ensure that calls are handled professionally, and the highest quality customer service provided.
- Assists in staff training, staff development, and staff supervision.
Faculty/Student Duties
- Knows and reminds others in clinic about Clinic Manual guidelines and other clinic policies and procedures.
- Maintains copy of day’s schedule and shreds at the end of each shift or day.
- Sets out materials for interns.
- Schedules make up shifts for student clinicians.
Education and Experience:
- Bachelor’s Degree
- Minimum three – five years of experience in office management, retail, or high-end hospitality.
- Experience working in a clinical environment.
Preferred Qualifications:
- Knowledge of Pacific College
- Ability to perform minor repairs to clinic equipment.
- Foreign language, Spanish preferred
- Experience working in a clinical environment.
